Intake and Service Processes
Initial Vehicle Intake & Service Process
When you schedule an appointment with us, our team begins preparing before your vehicle even arrives. We review the appointment details in advance to ensure we are fully ready to accept and service your vehicle efficiently.
1
Customer Arrival & Repair Authorization
When you arrive for your appointment, a service advisor will review and open a repair order with you. At this time, you will sign the repair authorization acknowledging the initial service request and current charges. Payment is not collected until the service is completed.
For your protection, the repair order will never increase without your authorization, which must be approved either digitally or in writing.
2
Vehicle Identification
Before your vehicle is moved, we verify and record important vehicle information. Our team scans the VIN and license plate to ensure your vehicle is accurately matched to our service management system.
3
Vehicle Condition Documentation
- To protect both the customer and our shop, we document the condition of the vehicle upon arrival. This includes:
- Detailed photos of all four corners of the vehicle
- Photos of any existing exterior damage
- A photo of the dashboard, documenting any warning lights that may already be present
- This process provides a clear record of the vehicle’s condition before service begins.
4
Diagnostic Pre-Scan (When Applicable)
For major repairs or diagnostic work, we perform a vehicle system scan using professional diagnostic equipment. Any diagnostic trouble codes present in the system are recorded before work begins.
5
Mileage Recording
The vehicle’s current mileage is documented as part of the repair order for accurate service records.
6
Interior Protection
Before the vehicle is moved into the service area, our service advisor places a protective floor mat to help keep your vehicle’s interior clean during the repair process.
7
Digital Vehicle Inspection (DVI)
During the service process, our technicians perform a digital vehicle inspection. This includes photos, videos, and technician notes documenting the condition of important components on your vehicle.
You will receive this inspection digitally, allowing you to clearly see the condition of your vehicle and understand any recommended services. Our goal is to provide complete transparency so you can make informed decisions about your vehicle’s maintenance and repairs.
8
Repair Recommendations & Customer Approval
If additional repairs or services are recommended, your service advisor will contact you with a detailed explanation and estimate. You can review and approve repairs digitally by text or email, making the process quick and convenient.
No additional work will ever be performed without your approval first.
9
Quality Control Inspection
Once repairs are completed, every vehicle goes through a final quality control inspection. This step ensures that all repairs were performed correctly and that the vehicle meets our shop’s standards before it is returned to you.
10
Post-Repair Test Drive
When applicable, our technicians perform a post-repair test drive to confirm the repair has resolved the concern and that the vehicle is operating properly under normal driving conditions.
11
Service History Reporting
All services performed at our shop are reported to CARFAX. This helps keep your vehicle’s maintenance history accurate and up to date, which can help maintain resale value and buyer confidence when it comes time to sell or trade in your vehicle.
